Templates and variables

Save emails you send often and personalize them with variables.

A template is an email you save once and reuse in any campaign. Merge variables, such as {{first_name}}, are filled in with each person’s details when the email is sent, so one template still reads like a personal note.

In the side panel, choose Outreach, then Templates.

Create a template

Open a new template

Click New template (or Create your first template if you have none yet).

Fill in the three fields

Name is only for you, so you can find it later (for example “First touch, field roles”). Subject and Body are what the recipient sees. Type merge variables straight into the subject or the body.

Save

Click Create template. The template appears as a card with its subject, the start of the body and the date it was last updated.

To change a template, click Edit and then Save changes. To remove it, click Delete. Campaigns you already created keep their own copy, so editing or deleting a template never changes them.

Merge variables

Write the variable exactly as shown, with two curly braces on each side. Tahoe replaces it for each recipient at send time.

{{job_title}}The person’s own current job title, from their profile. It is not the title of the job you are hiring for.

The campaign builder uses the same variables, including in the emails that Write with AI drafts for you.

Worked example

Jordan Rivera at Kestrel Labs saves this template:

Jordan uses it in a campaign. One recipient is Priya Shah, whose profile says she is a Site Supervisor at Northfield Utilities. This is the email Priya receives:

The last lines are not part of the template. Tahoe adds the signature from the campaign (name, email, phone, address and website) and an Unsubscribe link to every email. Campaigns and follow-ups

Example

Use the template in a new campaign

In the campaign builder, go to Write email, open Start from template and pick “First touch, field roles”. The subject and body fill in for Email 1. Change anything you like for this campaign; the saved template stays as it was.

Tips

Plan for missing details. If a profile has no value for a variable, it becomes blank:

A missing job title
Template:  I saw your work as {{job_title}} at {{company_name}}.
No title:  I saw your work as  at Northfield Utilities.

Use variables in sentences that still read well without them, or check the list before you launch.

Keep the subject short and plain. A subject such as “Quick question, Priya” reads like a note from a person, not an advert.
