Campaigns and follow-ups

Pick recipients, write an email and follow-ups, then send now or schedule.

A campaign sends a personal email to everyone on a list, from your connected Gmail mailbox, and then sends follow-ups to the people who have not answered. You pick the recipients, write the emails (Tahoe can write them for you), and send now or at a time you choose. Sending costs 0 credits.

In the side panel, choose Outreach, then Campaigns. You need a connected mailbox first: Connect a mailbox.

The campaign list

The list shows every campaign with its Status, Audience (people in the list), Sent, Bounced and Launched date. Under each name you see the list it uses and the mailbox it sends from. Search by name, filter by status, or sort by Updated, Launched, Name or Sent. Each row has Open, Rename and Delete.

To start a campaign, click Use saved contacts to send to one of your lists, or Import CSV & send to upload a file of contacts first. You can also start one from a list page.

Build a campaign

The builder has three steps. The bar at the bottom tells you what is missing before you can go on.

Choose recipients

Name the campaign, then pick a list. The table shows each list’s Candidates and how many are Eligible: people with an email address on file who have not unsubscribed. The line under the table sums it up, for example “Selected: Columbus coordinators · 37 eligible · 5 suppressed”. Suppressed people are skipped. To reach more of them, find their email first: Enrich contact details.

Write email

Describe the role and how you want to sound in Need help writing? and click Write with AI. Tahoe writes the first email and any follow-ups you have added. Or pick a saved email from Start from template, or write your own.

Click Add follow-up to add another email. For each email you set the Subject, the Body, the Delay days (business days after the previous email, 0 to 60; a new follow-up starts at 3) and a Send after time. Use Remove to drop a follow-up. Variables such as {{first_name}} fill in each person’s details: Templates and variables.

Review & send

Choose the mailbox under Send from (only healthy mailboxes can be picked), and under When choose Send now or Schedule for later with a start date and time. Tahoe checks the audience, the emails, the sender and the schedule, and confirms that sending uses no credits.

Open Advanced settings to fill in your signature (Name, Email, Phone and Address are required; Website is optional) and to set Send window starts, Send window ends and Maximum emails per day. Then click Launch campaign.

Every email ends with your signature and an Unsubscribe link, added by Tahoe. The phone, address and website start from your workspace settings. Settings

How sending is paced

  • Emails go out only inside the send window, on weekdays (Monday to Friday) by default.
  • Tahoe spaces emails a few minutes apart (3 to 7 minutes by default), so they do not arrive in bulk.
  • A campaign stops for the day at its maximum per day, and a mailbox stops at its own daily cap. The rest wait for the next send day.
  • All times follow the timezone of the sending mailbox.
Example

Jordan Rivera at Kestrel Labs: first email plus two follow-ups to 37 eligible field coordinators

Jordan writes “Field Coordinator role in Columbus, friendly and short, mention their current company” and clicks Write with AI, after adding two follow-ups with delays of 3 and 5 days. On Review & send, Jordan picks the Gmail mailbox, chooses Schedule for later on Tuesday at 9:00, and launches. The first emails go out Tuesday morning, a few minutes apart. When a candidate replies on Wednesday, Jordan clicks Mark replied on the campaign page, and that person gets no follow-ups.

When follow-ups stop

After launch, Tahoe shows “Campaign launched”: follow-ups stop for replied, bounced or unsubscribed recipients.

  • Unsubscribed: when someone clicks the Unsubscribe link, Tahoe stops emailing them automatically, in this and future campaigns.
  • Replied and bounced: Tahoe does not read your inbox, so it does not see replies or bounce messages. When you get one, open the campaign, click the person in Audience, and click Mark replied or Mark bounced.

The campaign page

Open a campaign to see its numbers (Audience, Eligible, Sent, Bounced) and three tabs:

  • Audience: each recipient with their email, status, current step and next send time. Search or filter by status. Click a person to see their details, the last error if a send failed, and the Mark replied and Mark bounced buttons.
  • Steps: each email with its delay, subject and the start of the body.
  • Delivery: how many recipients are in each status, and checks on the campaign status, the mailbox and how many people were skipped for having no email.

DeleteCancels queued emails and removes the campaign and its send history. Emails already delivered are not affected.

Costs and limits

Sending is free: 0 credits per email, because it goes through your own mailbox. Your plan limits how many campaigns can be active (launched or paused) at once: 2 on Starter and 10 on Growth. See pricing.
