Connect a mailbox

Connect Gmail to send outreach from your own address, with daily caps and send windows.

Outreach emails in Tahoe are sent from your own Gmail address, so candidates see a message from you and their replies come straight to your inbox. Before you can send a campaign, connect at least one Gmail mailbox. Sending email does not use credits.

In the side panel, choose Outreach, then Mailboxes.

Connect Gmail

Start the connection

Click Connect Gmail. Google opens and asks you to choose the account to send from.

Allow sending

Google shows what Tahoe is asking for. Tahoe asks for send-only access: it can send email as you, and it does not read your inbox contents. Approve to continue.

Check the mailbox

You come back to Mailboxes and the address appears in the table with the status Healthy. Click Manage and then Send test to be sure it works.

The mailbox list

ColumnWhat it shows
EmailThe Gmail address, and the days it sends on.
StatusHealthy, Error or Disconnected (see below).
Today sentEmails sent today out of the daily cap, for example 37 / 100.
Send windowThe hours it sends in, for example 09:00 - 17:00, and the timezone.
Last activityThe last time it sent an email or a test.
ActionManage opens the settings for that mailbox.

Mailbox settings

Click Manage on a mailbox. Change any of these, then click Save settings.

SettingWhat it doesDefault
Daily capThe most emails this mailbox sends in a day, across all your campaigns. When it is reached, the rest wait for the next day.100
Window start and Window endThe hours of the day this mailbox sends in, unless a campaign sets its own window.09:00 to 17:00
TimezoneThe timezone for every send window that uses this mailbox, including the windows set on campaigns.America/Los_Angeles
Send daysThe days of the week this mailbox sends on, unless a campaign sets its own days.Mon to Fri

The daily cap can be anything from 1 to 2,000. Gmail limits how much one account can send, and a slow, steady pace keeps your address in good standing, so start low and raise it over time.

Example

Jordan Rivera at Kestrel Labs recruits in Columbus, Ohio, and works Eastern time

Jordan opens Manage, sets the timezone to America/New_York, the window to 08:30 to 16:30 and the daily cap to 60, and clicks Save settings. When Jordan builds a campaign, its send window and daily limit start from these values, every send follows Eastern time, and the mailbox never sends more than 60 emails in a day.

Send test, Disconnect and Delete

  • Send test sends an email with the subject “Tahoe mailbox test” from the mailbox to itself. If it arrives, the mailbox is working. It counts toward today’s total.
  • Disconnect removes Tahoe’s access to the Gmail account. The mailbox stays in the list as Disconnected, and it stops sending. To use it again, click Connect Gmail and choose the same account.
  • Delete removes the mailbox from Tahoe for good. Tahoe asks you to confirm. You cannot delete a mailbox while an active campaign or queued emails still use it; stop or finish those first.

Mailbox status

StatusMeaningWhat to do
HealthyConnected and able to send.Nothing.
ErrorThe last send or test failed, for example because access was removed in your Google account. When a campaign email fails this way, Tahoe also sends you a notification.Click Send test. If it fails again, connect the account again with Connect Gmail.
DisconnectedTahoe no longer has access. Campaigns cannot use it.Connect Gmail again, or delete it.

Common questions

Can Tahoe read my email? No. Access is send-only, and Tahoe does not read your inbox contents. Replies arrive in Gmail as usual. Because Tahoe cannot see them, you tell a campaign that someone replied (see Campaigns and follow-ups).

Can I use Outlook or another provider? The Mailboxes page connects Gmail accounts only.
