Team and roles
Invite teammates and choose what each person can do.
Bring your hiring team into one workspace so you share candidates, notes and credits. Each person gets a role, which decides what they can do. You manage everything in Settings → Team & Roles.
Team & Roles starts on the Growth plan. On Starter, opening the tab offers an upgrade to Growth instead. Plans, billing and credits
The four roles
| Role | What they can do | Seat |
|---|---|---|
| Owner | Billing, workspace settings and full control. | Paid |
| Admin | Invite teammates and manage Members and Viewers. | Paid |
| Member | Search, enrich contact details, run outreach, see analytics and write internal notes. | Paid |
| Viewer | View shared candidates, scorecards and notes. | Free on Growth and above |
A paid seat is one Owner, Admin or Member. Your plan sets how many you have: 1 on Starter and 3 on Growth, and Enterprise seats are agreed with Tahoe. The top of the tab shows how many you use, for example “2 / 3 paid seats”. Viewers do not use a paid seat, so you can add hiring managers who only need to look.
Invite a teammate
Open Team & Roles
In the side panel, choose Settings, then the Team & Roles tab. Only owners and admins can invite. Everyone else sees “Ask a workspace owner or admin to invite teammates.”
Enter their work email
Click Invite teammate, or go straight to the Invite a teammate card, and type their Work email.
Choose a role
Pick Member or Viewer. Owners can also invite an Admin.
Send the invite
Click Send invite. Tahoe checks that you have a free paid seat first (Viewers do not need one). The person signs in to Tahoe from the invite and joins your workspace.
Invites stay open for 7 days. Until then, the person appears in the members table as Pending, with the date the invite expires. If they missed the email, click Resend invite on their row.
Jordan Rivera, the owner at Kestrel Labs, is on Growth with 2 of 3 paid seats used. A hiring manager in Columbus, Ohio needs to review the Field Coordinator shortlist.
Jordan invites the hiring manager as a Viewer. It costs no paid seat, and the hiring manager can read the shortlisted candidates, scorecards and notes without spending credits. Jordan keeps the last paid seat for a recruiter who will start next month.
Change someone’s role
In the Workspace members table, pick a new role from the menu in the Role column. Tahoe saves it right away and shows “Teammate role updated.”
- Owners can change anyone else to Admin, Member or Viewer.
- Admins can switch people between Member and Viewer. They cannot change another admin.
- Nobody can change the owner’s role here.
If a teammate uses Tahoe from an AI app such as Claude or ChatGPT, lowering their role also narrows what that app can do. Connected apps
Remove a teammate
The Team & Roles tab does not have a remove button. When someone leaves, change their role to Viewer right away, so they can only view shared candidates, scorecards and notes. Then email [email protected] to have them taken out of the workspace. When a person is removed, any AI apps they connected to the workspace are disconnected automatically.
