Sync activity
Check every import run: what was added, updated, removed or skipped.
Sync Activity is the log of every import from your connected ATS or CRM. Each row is one run, with exactly how many records it added, updated, deleted and skipped. Use it to confirm that new candidates and roles are coming in, and to see what went wrong when an import fails.
In the side panel, choose ATS & CRM, then Sync Activity.
How imports run
The first import starts as soon as you connect a system. After that, Tahoe imports changes when your system reports them, and also checks on a schedule as a safety net, so a missed update is picked up on the next check. You can also click Import now on the Integrations page at any time.
Each run asks only for what changed since the last successful run. So after the first import, a normal run shows 0 added and a few updates. That is the import working as it should.
The activity table
Filter by source (one connected system, or all sources) and choose how many runs to show: the last 50, 100 or 200. Click Refresh to update the table. While a run is in progress, the page updates itself.
| Column | What it shows |
|---|---|
| Source | The connected system, such as Greenhouse or HubSpot. |
| Model | The kind of record the run imported, such as candidates, roles or applications. |
| Trigger | What started the run: initial (the first import after connecting), manual (Import now or Force full re-import), schedule (the regular check) or webhook (your system reported a change). |
| Started | When the run began. |
| Took | How long it ran. |
| Added | New records created in Tahoe. |
| Updated | Records that already existed in Tahoe and were changed. |
| Deleted | Records deleted in your system, now removed from Tahoe too. |
| Skipped | Records Tahoe left alone, for example because nothing had changed, Tahoe has no place for that kind of record, or the record could not be read. |
| Status | ok, running, skipped or failed (see below). |
The four counts are filled in only for runs that finished with the status ok.
Run status
| Status | Meaning |
|---|---|
| ✓ ok | The run finished. The counts show what it changed. |
| ⟳ running | The run is still in progress. |
| ⊘ skipped | The run did not do any work, usually because another import of the same records was already running. |
| ✗ failed | The run stopped with an error. Click the badge to read it. |
Examples
Jordan Rivera connects Lever on Monday morning
The first row shows the trigger initial for candidates, with 1,240 added. Another row for roles shows 18 added. On Tuesday, a schedule run for candidates shows 0 added, 3 updated and 0 deleted: three candidates changed stage in Lever overnight.
A run shows ✗ failed with an error about access
Open Integrations. If the connection says Needs attention or Disconnected at the provider, click Reconnect and sign in again. Then click Import now and check that the new run shows ok.
Common questions
I changed a candidate in my ATS but Tahoe does not show it yet. Wait for the next run, or click Import now. If runs keep finishing with ok but the record still looks wrong, use Force full re-import under Manage data. It pulls everything again, and records are matched, so nothing is duplicated.
Why does a run show records as deleted? Those records were deleted in your ATS or CRM, so Tahoe removes its copy too.
