Pipeline and applicants

Review applicants, move them through stages, read resumes and email them.

Every job has a pipeline: the list of people who applied, with a match score, their pre-screen result and the stage they are in. From here you open each applicant to read their resume, notes and phone pre-screen, and email them.

To open it, go to Jobs → Job Postings and click the number in the Applicants column, or Applicants in the Actions. On a live job, clicking the job title opens it too.

Table or Kanban

Switch between two views at the top of the list. Table shows one applicant per row. Kanban shows a column for each stage (by default Applied, Screen, Interview, Offer, Hired and Rejected); drag a card to another column to move the applicant.

Next to the view switch:

  • Sort: Match % (best fit first) or Most recent.
  • Status: all, new, in review, advanced, rejected, hired or withdrawn.
  • Pre-screen: Complete, Partial, In progress, Aborted or Not screened.

The columns

ColumnWhat it shows
CandidateThe name (click it to open the applicant), a one-line AI read with its recommendation, and N answers to expand the pre-screen answers in place. “parsing…” means Tahoe is still reading the resume; “needs review” means it could not.
EmailClick to write from your own email app.
PhoneClick to call. “can’t be matched” means a pre-screen call from this number cannot be linked to the applicant.
MatchHow well the applicant fits the job, as a percentage.
LocationCity and country.
Pre-screenComplete, Partial, In progress, Aborted, or none.
ResumeWhether the resume is free, view-only, locked or unlocked, and the file name. Click the badge to open the resume.
StageA menu to move the applicant to another stage.

Match % blends three signals: how closely the resume reads like the job description, how well facts such as required skills, years of experience, location and work authorization line up, and an AI review of the resume against the requirements. Your workspace can change the balance on the Organization page. Diversity survey answers are never used.

Move or reject several applicants

Tick the boxes next to the applicants. A bar appears with the number selected. Choose a stage from Move to, or click Reject. Clear unticks everyone. Rejecting changes the status to rejected; it does not email the candidate.

The list now shows only applicants who finished the phone pre-screen, best match first. The three you ticked move to the Interview stage in one step, and each move is recorded in their Activity tab.

The applicant page

Click a name to open the applicant. The header shows their email, location, resume access and match score, with menus to change their Stage and Status. Below are eight tabs:

NotesPrivate notes for your team. Type and click Add note.
ScorecardYour verdict (strong yes, yes, no or strong no) with a comment. Click Add.
ActivityA timeline of what happened to this application, such as stage moves.
EmailSend the candidate an email from Tahoe. See below.

More about phone pre-screening

Resume access

Resumes that come in with applications are free for a limited time. After that, you can unlock a resume for good. Contact details (email and phone) are never locked: you can always reach someone who applied.

To unlock, click Unlock resume · 50 credits on the applicant page. Tahoe shows your balance, and you confirm with Unlock · 50 credits. During the view-only days, the banner at the top offers the same thing as Unlock forever · 50 cr. You pay once per resume. If your balance is too low, the dialog links to Billing to top up. Credits

Email a candidate

The Email tab is send-only. Click Open Messages, write a subject and a message (or describe what you want to say and click Draft with AI), and click Send. Your past messages to this person are listed under Sent history.

Tahoe sends the email with your own email address as the reply address, so when the candidate replies, the reply goes to your own mailbox, not to Tahoe. There is no inbox in Tahoe. If the candidate has unsubscribed, Tahoe will not send and tells you so.

When the pipeline is empty

If the job is not published yet, the pipeline says so and offers Publish this job. If it is live but nobody has applied, use Find matches · 2 credits to search for people, or share the public job page.
